Get Organized Before Your Big Event

You've got the date, the guest list, and the vision. Now comes the part most people underestimate — the logistics. Here's a simple framework to keep your event planning on track.

Start Earlier Than You Think

Most people wait too long. For anything with 50+ guests, start planning at least 4–6 weeks out. Rentals — especially tents and tables — book up fast on weekends from May through October in the Chicago suburbs. Lock in your equipment first, then build everything else around it.

Know Your Numbers Before You Shop

Before you browse rentals, nail down:

  • Guest count (approximate is fine — round up)
  • Indoor vs. outdoor
  • Seated dinner, cocktail style, or both
  • Whether you need shade/shelter

These four answers determine almost everything — how many chairs, what size tent, how many tables.

Build a Simple Day-Of Timeline

Work backwards from your event start time. When does the rental delivery arrive? When does catering set up? When do guests arrive? A one-page timeline shared with anyone helping you prevents the last-minute scramble.

Don't Forget the Small Stuff

The big items (tent, tables, chairs) are easy to remember. It's the small things that catch people off guard — extension cords, trash bags, lighting for after dark, a table for gifts or a sign-in book. Walk through your event mentally from arrival to cleanup and write down everything you'll need.

Have a Weather Backup

For outdoor events in the Midwest, always have a plan B. A tent goes a long way — even on a sunny forecast day, shade matters in July and August.
